Studio hire terms and conditions

Booking & Payment

Your booked time includes setup and pack-down. Please ensure you allow enough time to complete both.

The studio must be left clean and in the same condition it was found. If not, a $75 + GST cleaning fee will apply.

Please arrive and finish on time to avoid affecting other bookings.

Running overtime? Additional time can be arranged at $75 + GST per hour, subject to availability. This must be approved in advance by contacting us on 0411 374 783 or emailing studio@mindfulcreatives.com.au. Overtime is invoiced and payable on the day. Starting early without approval will also be considered overtime.

Bookings must be paid for in full before your session time. A 50% deposit is required at the time of booking.

Deposits are non-refundable unless cancelled within the 7-day cooling-off period, and your booking date is more than 14 days away.

Studio Use

You’re welcome to move props, backdrops, and furniture during your session, but please ensure everything is returned to its original place.

Do not drag items across the floor; always lift them to move.

Items are checked before and after each booking. If any are damaged, you will be contacted to arrange repair or replacement.

You are responsible for any damage to the studio or its contents during your hire.

Certain areas are off-limits, including:

• Employee desks
• Locked cabinets
• Computers
• Any areas marked “do not touch”

No Events Policy

The studio is available for:
• Photography and videography sessions
• Content creation
• Small client or team meetings
• Creative planning sessions
(Maximum of 10 people in the space at any time)

The studio is not available for events, including:
• Parties or celebrations
• Product launches or showcases
• Baby showers or social gatherings
• Workshops, classes, or ticketed activities
• Large networking events
• Any booking intended primarily for entertaining guests rather than working

If a booking is identified as an event, the session may be ended immediately, and no refund will be provided. Additional cleaning or damage fees may apply.

Background Paper Use

Studio backdrop paper is available at an additional cost.

If you use studio backdrop paper and it becomes creased, damaged, stained, or otherwise unfit for future use (at Mindful Creatives’ discretion), a $50 per linear metre fee will apply. This is due within 7 days.

Hire Purpose

We reserve the right to refuse or cancel a booking if the purpose of the booking breaches our terms.

Strictly prohibited:

• Pornographic or explicit content
• Underage or unlawful activity
• Sale or use of drugs or alcohol
• Excessive noise or music videos

Boudoir photography is welcome, but please note:

• Security cameras are always in operation (communal areas only).
• The studio features large windows visible to the public.
• We recommend inspecting the space in advance to ensure it meets your privacy needs.

Cancellation & Rescheduling

A 50% deposit is required to secure your booking.

Deposits are refundable within 7 days of payment if your booking date is more than 14 days away.

After this period, cancellations forfeit the deposit.

Reschedules made within 72 hours incur a $50 + GST admin fee.

No-shows are non-refundable.

More than three consecutive reschedules may result in cancellation and refusal of future bookings.

Damage, Insurance & Liability

Use of the studio and equipment is at your own risk. Mindful Creatives is not responsible for any injury, accident, loss or damage incurred during your booking.

You are responsible for all individuals you bring into the studio, including contractors, clients, and team members.

You must hold suitable insurance covering:

• Yourself
• Your equipment
• Anyone acting on your behalf

If any damage occurs, the hirer will be invoiced for repairs or replacements. Security cameras are in place to protect both parties.

Indemnity

The hirer agrees to indemnify Mindful Creatives against any costs (including legal, fines, or third-party damages) resulting from a breach of this agreement.

Mindful Creatives is not liable for events outside our control, such as:

• Power outages
• Emergency situations
• Neighbour noise
• Weather disruptions

We may reschedule or partially refund in such instances at our discretion.

Video Production

We recommend using plug-in (studio) lights or natural light (not hardwired ceiling lights) to avoid flicker.

Our walls are not soundproof. Neighbour noise may be present.

Sound recording is possible but not guaranteed. Inspect the space first if sound quality is important.

Housekeeping & Behaviour

Please be respectful of our shared space and neighbouring businesses. The following rules apply:

• No smoking
• No sale of alcohol
• Minors must be supervised at all times
• Excessive noise is not permitted
• WIFI is available for general browsing only (no downloading of films/music)
• Do not block walkways — public access must remain clear at all times
• Free parking is available. Please park respectfully and do not obstruct access.
• If a member of the public is harmed due to an obstruction you’ve caused, your insurance will be responsible.

Default Payments

Invoices are considered in default if unpaid 7+ days after the due date.

Defaulting clients may be refused future access to the studio.

Any legal or collection fees incurred by Mindful Creatives will be charged to the client.

Your booking will not be held or proceed if any outstanding payment is due to Mindful Creatives.

Advertising

We love showcasing the creativity in our space!

By booking with Mindful Creatives, you consent to us sharing photos or video taken during your session (e.g., behind-the-scenes or set-up shots) for promotional purposes. We will never share client work without context or in a way that misrepresents your brand.

If you prefer that we don’t share your content, please let us know before your booking.
